Responsibilities
- Provide administrative support to the office of the CEO and assist with a variety of administrative duties to ensure smooth operation of the department.
- Maintain confidentiality when handling a high volume of information.
- Coordinate travel, including complex itineraries and multiple itineraries simultaneously; assist with visa arrangements as needed.
- Organize and maintain file systems, correspondence, and records (paper and electronic).
- Manage telephone communications at all levels, including executives, Board Members, and internal / external customers.
- Prepare spreadsheets, presentation materials, and internal / external correspondence.
- Support events and meetings, including Board of Director meetings.
- Collaborate with executive team members and staff to help execute and prioritize business strategies.
- Provide tactical support for ideas, special projects, and initiatives.
- Identify and help solve core problems or opportunities within business processes.
- Improve executive efficiency by setting meetings and minimizing conflicts.
- Understand business acumen and how the role fits with broader organizational goals.
- Demonstrate energy and initiative for new projects; work as a team player to cultivate productive relationships enterprise-wide.
- Offer recommendations and consultation to department leaders to improve teamwork.
- Exercise decision-making authority; identify issues, provide workable solutions, and communicate pertinent details to the executive as directed.
- Plan, oversee, and implement strategic initiatives requiring project coordination, budget management, data analysis, and strong decision-making skills.
- Plan, coordinate, and implement key strategies on behalf of the Chief Executive Officer.
- Other duties as assigned.
Education and / or Experience
At least five years of experience supporting the C-suite.Bachelor's Degree required.A strong understanding of general corporate matters and duties.Advanced Microsoft Office skills (PowerPoint, Excel, Word) with ability to learn company-specific programs.Strong organizational, project management, and problem-solving skills with multi-tasking ability.Experience with project coordination, budget management, data analysis, and strong decision-making skills.Ability to work flexible hours, including evenings and weekends as needed.Experience handling confidential information and adhering to strict deadlines.Preferred Qualifications
Master's degree or MBA preferred.Specific Knowledge, Skills & Abilities
Ability to multitask and prioritize tasks.Well-developed organizational skills and strong attention to detail.Excellent written, verbal, and interpersonal communication skills with the ability to listen attentively and communicate effectively at all levels.Professional discretion and ability to maintain confidentiality.Professional demeanor and ability to work independently with minimum direction.Working Conditions and Physical Demands
Work is typically performed indoors in an office environment with a generally quiet noise level. The role may require typing, reading, sitting for prolonged periods, standing, and walking.
Regular use of hands to type, touch, and handle items.Occasional standing, reaching, walking, and climbing / balancing.May lift and / or move up to 15 pounds.In the event that the incumbent visits an operations worksite, personal protective equipment may be required (head protection, hearing protection, safety glasses, safety shoes, flame-resistant clothing).
Compensation and Benefits
The targeted compensation range for this position is $90,000 – $105,000. Compensation is commensurate with experience and skill set.
