We are seeking a proven Event Manager who thrives in high-stakes, high-output environments and brings calm confidence, critical thinking, and fast execution to every challenge.
This role is responsible for the end-to-end planning, logistics, and on-site execution of large-scale live, hybrid, and virtual events (1,000–50,000+ attendees) that embody the world-class standard of the Tony Robbins brand.
The right candidate is a rock-solid operator who processes quickly, anticipates needs, and provides solutions on the spot—often before the question is even asked.
They must balance budget discipline, vendor management, and technical production oversight while leading large teams and ensuring flawless event delivery.
Responsibilities
Event Planning & Execution
Lead all aspects of event planning for live, hybrid, and virtual events, from venue selection and contracts to on-site logistics.
Oversee pre-event planning, on-site execution, and post-event analysis, ensuring seamless delivery for audiences of 1,000–50,000+.
Act as primary POC for venue management, catering, vendors, and partners.
Maintain readiness to step in wherever needed to ensure smooth operations.
Budget Ownership
Own and manage event budgets, optimizing spending for an outstanding participant experience while adhering to financial targets.
Partner with finance on reconciliations, reporting, and ROI measurement.
Negotiate contracts to optimize costs without sacrificing quality.
Team & Vendor Leadership
Direct and support event teams of 200–500+ staff and volunteers.
Ensure all partners are aligned, equipped, and held accountable.
Negotiate contracts for accommodations, meeting spaces, F&B, equipment, and other key event elements, ensuring favorable terms and quality outcomes.
Logistics & Production
Manage complex travel, hotel blocks, rooming lists, and scheduling for staff and client.
Coordinate talent and speaker requirements in partnership with production.
Work side-by-side with A / V and technical teams to deliver world-class production.
Understand and support technical areas as part of the larger event mission.
Systems & Process
Utilize project management tools (Asana, Slack, Salesforce, etc.) to drive accountability, streamline communication, and project execution.
Support Accounts Payable (AP) functions, including payment submissions and invoice processing for employees, contractors, and vendors.
Procure and manage event supplies, compare bids, and coordinate shipping logistics.
Continuously refine workflows for speed, accuracy, and efficiency.

Requirements
5–7+ years in live / hybrid / virtual event management at scale (1,000+ participants; 10K+ strongly preferred).
Proven budget ownership experience and accumen
Strong vendor / contract negotiation skills.
Proven ability to lead vendors, venue teams, and production crews in high-scale events.
Track record of on-site leadership (staffing, vendors, logistics, production crews).
Mastery of event tools (Asana, Slack, Salesforce, Excel).
Strong written and verbal communication skills.
Professional demeanor with the ability to navigate high-pressure situations with poise.
Flexibility to travel 50%+ , including nights, weekends, and holidays.
Preferred : background in personal development, coaching, or celebrity / speaker-driven events .
