Job Summary
The Executive Assistant provides high-level administrative and strategic support to the President, helping to streamline daily operations, communications, and key initiatives. This position also plays a key support role to the Human Resources and Training & Development teams, assisting with coordination, documentation, and implementation of employee-related programs and initiatives.
Key Responsibilities
Executive Support
- Manage and prioritize the President's calendar, travel, meetings, and appointments.
- Screen and prioritize emails, calls, and correspondence; draft and respond to communications on behalf of the executive.
- Coordinate meetings and events, including logistics, agendas, and minutes.
- Support internal and external communications and serve as a point of contact.
- Serve as a liaison between the executive and internal / external stakeholders.
- Conduct research and provide summaries or briefs to inform decision-making.
- Attend various meetings, taking notes and reporting back to Executive.
- Coordinate executive meetings, Off-Site, and follow-up action items.
- Manage expense reports, vendor communications, document filing, and other day-to-day administrative tasks.
- Handle confidential and sensitive information with discretion and professionalism.
- Various miscellaneous tasks
HR Support
Assist with coordination of employee onboarding and offboarding activities.Support the scheduling and documentation of interviews and recruitment processes.Help facilitate internal HR communications and announcements.Coordinate logistics for employee events, engagement activities, and recognition programsAct as role back-up coverage.Training & Development Support
Maintain and update training calendars and schedules.Coordinate logistics, preparation and delivery of training sessions, including room setup, materials, and technology.Track employee participation and completion of required training and performance evaluations.Support communications related to learning initiatives and development opportunities.Act as role back-up coverage.Candidate Qualifications :
Experience
3-5 years of experienceEducation : High School Degree, bachelor's degree preferredCritical Competencies
High level of discretion and confidentiality.Exceptional written and verbal communication skills.Strong emotional intelligence, diplomacy, and interpersonal skills.Proficient in Microsoft Office Suite and calendar management platforms.Highly organized and detail-oriented with the ability to multitask and prioritize.Proven ability to work independently, anticipate needs, and act proactively.
