The Events Specialist assists in facilitating all events and activities for designated area. This includes scheduling, preparing contracts and receiving payments, taking charge of the logistics of the event, as well as outreach and marketing efforts.
What you will be doing
- Coordinates event logistics, including work orders, set up and strike
- Manages the needs of clients using the facilities
- Liaises with organizers and related vendors
- Prepares and executes contracts, ensures all needed paperwork is in place before events
- Processes payments and deposits
- Maintains current and accurate information on website
- Assists with promotion of activities via social media, distribution of e-blasts and flyers
- Participates in meetings to identify potential programs and organizations with whom to partner or solicit for rentals
- Provides detailed information about event activities to the general public when answering calls or answering e-mails
- Performs other duties as assigned
What you need to succeed
Bachelor's degree from a regionally accredited institution and three (3) years of experienceAll degrees must be from a regionally accredited institutionKnowledge and understanding of College organization, goals and objectives, and policies and proceduresPossess excellent oral and written communication skillsPossess detail-oriented and highly organized skillsPossess superior follow through skills to ensure all activities are executed successfullyPossess strong interpersonal and decision-making skillsPossess marketing, outreach, and advertising skillsAbility to be resourceful and take initiative, with little supervisionAbility to make and keep excellent working relationships with college departments, vendors and groups in the communityAbility to problem solve in high pressure situations with a professional demeanorAbility to meet tight deadlines and manage multiple prioritiesProficiency in Microsoft applicationsPossess excellent attention to customer serviceAbility to work a flexible schedule that may include evening and weekend assignmentsAbility to work well in a multi-ethnic and multi-cultural environment with students, faculty and staffAdditional Requirements
