We are looking for a motivated Executive Assistant to provide administrative support to our Vice President of Product Marketing, and senior leadership team. You will collaborate closely with executive-level customers, partners, senior leaders, E-team and SVP EAs, event coordinators and broad teams of product, engineering, legal, sales, marketing, etc.
A successful candidate will have a proven track record of working in a fast-paced environment with meticulous attention to detail. You will thrive in ambiguity, have a low ego and be willing to roll up your sleeves with the team. You will excel in building rapport internally and with external partners. You will demonstrate strong judgment, a high level of professionalism and confidentiality.
The primary location for this position will be from Adobe's office in San Francisco.
What You'll Do
- Extensive scheduling, calendar coordination and manage complex, cross-geo multi-time-zone and changing calendars, working through scheduling roadblocks while optimizing for the needs and priorities of the business.
- General travel arrangements, domestic & international
- Filter and manage requests for internal & external commitments
- Proactively manage and maintain the Hot Priorities List and tracker, ensuring deadlines, follow-ups, and key action items are clearly documented, updated, and communicated for timely execution.
- In collaboration with Chief of Staff / Biz Ops Lead to coordinate special projects including : Offsites, team building activities, and all-staff meetings
- Identify opportunities to streamline efforts and improve processes (eg, budget coordination, hiring)
- Maintain visibility into the Product Marketing budget, including shared budget with partner teams, and partner with finance to manage expenditures
- Submit and maintain expense reports
- Attend staff meetings and capture key outcomes and actions
- Regularly collaborate with cross-functional Administrative & Executive Assistants and provide back up for vacation / illness
What You Need to Succeed
BA / BS degree preferred OR 10+ years of administrative experience OR equivalent practical experience.10+ years in administrative experience including 4+ years in supporting executive leadershipUnderstanding of business priorities and workstreams to aid in optimal decision-makingDemonstrate excellent attention to detail while working effectively with minimal directionPositive, proactive, and can-do attitude in a fast-paced, ever-changing global environmentTakes initiative, regularly identifies process improvements and ways to streamline complex effortsExceptional ability to prioritize conflicting demands and meet deadlines with little directionStrong organizational skills, attention to detail, business acumen and timely follow-throughExcellent written and interpersonal communication skillsHandles confidential information with integrity and exercises discretionConfidence and strong decision-making skillsTechnical proficiency with productivity applications from Adobe, Microsoft, Slack and othersEagerness to build a network with other executive assistants at Adobe and cooperate as a teamAbility to travel occasionally to provide support at events / conferences
