Job Description

Basic Functions : Provide clerical support to the Division Property Administrator. This role will be responsible for managing property projects through completion. Regular attendance is an essential requirement of this position.

Primary Duties & Responsibilities :

• Serve as the primary liaison with internal managers to assess property needs.
• Coordinate with external parties, including architects, contractors, and vendors.
• Prepare and submit funding forms.
• Post project updates and approvals to the department’s property system.
• Maintain accurate records in the department database.
• Handle and process change orders.
• Prepare and manage property projects for review by the finance board.
• Track the progress of property projects through to completion.
• In consultation with the Divisional Property Administrator, close out completed projects in a timely manner.
• Maintain both paper and electronic property files.
• Process all property-related invoices and ensure proper documentation is sent to the Finance Department.
• Notify managers of corporate approvals for property-related projects.
• Maintain follow-up files to ensure timely monitoring of project progress.
• Occasional travel may be required.
• Perform other tasks as assigned.

Language Skills : Proficiency in English sufficient for communication with supervisors, co-workers, clients, and customers. Ability to read, analyze, and interpret complex documents. Ability to respond effectively to sensitive inquiries or complaints.

Mathematical Skills : Ability to calculate figures such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

Reasoning Ability : Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems. Ability to handle abstract and concrete variables.

Computer Skills : Advanced knowledge of Microsoft Office Suite (Word, Excel, Access, PowerPoint). Experience with database systems and project management software is beneficial.
