Accounting Technician

POSITION PURPOSE :

The Accounting Technician performs a variety of accounting duties in the areas of accounts receivable accounts payable cashiering travel expenses and related tasks as part of the daily operations of the Business Services department.

DUTIES & RESPONSIBILITIES : (These duties are a representative sample; position assignments may vary.)

Accounts Payable : Process accounts payable reconcile invoices with purchase orders verify source documents and obtain necessary approvals research and respond to questions from vendors and staff regarding accounting transactions and related matters to assist with processing and address discrepancies verify and complete expenditure coding research and resolve related problems and discrepancies obtain required documentation prepare affidavits of lost warrants.

Cashiering : Handle cash receipts take payments from families staff and public prepare daily bank deposits maintain petty cash fund.

Travel : Process travel request and approval forms prepare information on out-of-state travel requests for Board approval monitor travel and professional development fund authorizations coding and related documentation and transactions.

Reimbursements : Obtain receipts input verify and issue expenditure reimbursements.

Purchase Cards : Audit purchase card transactions communicate with school office managers and department staff to obtain documentation for expenditures resolve problems and identify proper coding.

Customer Service : Serve as the initial point of contact for vendor customer staff family and public inquiries regarding district accounts payable accounts receivable and other accounting functions.

Accounts Receivable : Maintain accounts receivable ledger and compile aging report generate invoices process payments monitor outstanding balances reconcile customer accounts and resolve discrepancies.

Ongoing Development and Training : Maintain current knowledge of state and federal regulations and District policies and procedures related to documentation for expenditures of public funds develop and document new procedures in conjunction with other staff collaborate with other accounting department staff in developing and documenting procedures and processes cross-train staff and assist new or temporary staff.

Reporting and Compliance : Prepare state sales and use tax return provide support for audit function maintain accounting-related reports records and les in accordance with applicable records retention regulations and provide support for public records requests.

REPORTING RELATIONSHIP :

Reports directly to the Accounting Manager.

EDUCATION & EXPERIENCE (positions in this class typically require) :

Required :

Associates degree

One year of college level accounting course work

Experience working with financial accounting software and applications such as Excel in a complex organization

Preferred : Bachelors Degree

Experience in a K-12 school district

Intermediate Excel proficiency is a plus

PHYSICAL REQUIREMENTS :

Positions in this class typically require : stooping kneeling crouching reaching standing walking pushing pulling lifting finger dexterity grasping talking hearing seeing and repetitive motions.

Sedentary Work : Exerting up to 10 pounds of force occasionally and / or a negligible amount of force frequently or constantly to lift carry push pull or otherwise move objects including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Incumbents may be subjected to moving mechanical parts odors chemicals extreme temperatures inadequate lighting workspace restrictions and intense noises.

CONDITIONS OF EMPLOYMENT :

AISP pay range C (starting wage is $29.63per hour) based on negotiated collective bargaining agreement. 40 hours per week for a 260-day annual assignment. Medical dental vision long-term disability and life-insurance eligibility is based upon 630 hours worked within a school year. Retirement provided through Washington State Department of Retirement benefits include vacation and paid holidays.
