Job Summary
1st Choice is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and executive-level support. The ideal candidate is confident, detail-oriented, and skilled in working directly with C-Suite leadership in a professional environment. Key Responsibilities
Triage and manage information flow and priorities on behalf of executive leadership.
Monitor executive calendars, schedule meetings, arrange appointments, and coordinate travel.
Prepare materials for key meetings, including agendas, talking points, presentations, and correspondence.
Record meeting minutes and ensure timely follow-up on action items.
Manage executive workflow to ensure priorities and deadlines are met.
Coordinate event and meeting logistics (venues, menus, agendas, participants, contracts, budgets, and supporting materials).
Oversee special projects : create project plans, track deliverables, identify risks, and provide solutions.
Accompany executives in meetings with internal and external stakeholders, providing updates and follow-ups.
Partner with colleagues to support shared projects and provide coverage for team members as needed.
Maintain confidentiality at all times and demonstrate professionalism in all interactions.
Required Qualifications
Associate’s degree.
Minimum 4 years of administrative experience in business, professional, government, or healthcare settings.
Proven ability to work independently and manage multiple priorities.
Strong communication skills (verbal, written, and interpersonal).
High proficiency in Microsoft Office Suite and web-based applications.
Excellent typing, data entry, filing, and organizational skills.
Demonstrated ability to solve complex problems effectively.
Comfortable engaging with Executive and C-Suite leadership.
Preferred Qualifications
Bachelor’s degree with 2+ years of administrative experience in business, professional, government, or healthcare environments.
Familiarity with medical terminology.
