Executive Assistant - Advisory

Join Aprio's team and you will help clients maximize their opportunities. Aprio is a progressive, fast-growing firm looking for an Executive Assistant to join their dynamic team. This position provides high level administrative support for the Transaction Advisory Services Team. We are looking for an experienced individual who is efficient and comfortable being a member of the team. This role will be vitally important to the success of day-to-day operations and organization of the department. The ability to multi-task, while maintaining complex schedules is essential in this position. The ideal candidate is resourceful, an excellent problem solver and very organized. Assuring completion of projects and assignments in a timely manner is key to success in this position. Independent judgment is required to plan, prioritize and organize the diversified workload.
Position Responsibilities :
- Provide client lifecycle administrative support to the Transaction Advisory Services Leader
- Preparation of proposals, engagement letters, new client setup, and presentations
- Execution of day-to-day billing, monthly statements, credits, adjustments, expense report preparation and reconciling
- Report generation
- Maintain partner's schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Welcome clients and guests by greeting them, in person or on the telephone
- Management of partner prospects and leads
- Assist with set-up of monthly firm-wide pipeline meetings and reporting
- Arrange team meetings and events, as needed
Qualifications :
High school diploma or general education degree (GED)Preferred Associates / Bachelor's degreeMinimum of five (5) years related experience in a management support roleExperience with multifaceted routine bill preparation and invoicingProficiency in MS Office with expertise in Outlook, Word, PowerPoint and Excel is essentialAble to work additional hours occasionallyAbility to analyze and revise operating practices to improve efficiencyDetail oriented and comfortable working in a fast-paced and time sensitive office environmentProficiency in multi-tasking and prioritizing using strong problem-solving skills and the ability to self-directAptitude for working with a diverse group of partnersExceptional written and verbal communication skills are necessarySuperior organization skills and dedication to completing projects in a timely mannerActs as the ambassador of the departmentAbility to work independently and act as a project manager on special projectsProofreads for spelling, grammar and formatting, making appropriate changes.
