Scheduling Coordinator (Contract)
Hiring through ExecuSource on behalf of a national signing services provider.
Location : La Palma, CA
Compensation : $20.50 / hr (with potential for increased flexibility based on experience)
Schedule : Full-time, M-F, in-office
Status : Hourly, Contract (3+ months, with potential to extend 6-9 months or convert to permanent)

About the Role
We're seeking a Scheduling Coordinator to support a busy signing services team by coordinating notary assignments for mortgage, refinance, and closing signings nationwide. This role is ideal for someone who thrives in a call center environment, has strong communication and negotiation skills, and can manage high-volume scheduling under strict deadlines.
As the facilitator between clients, notaries, and internal schedulers, you'll ensure smooth and timely scheduling, accurate information relay, and adherence to service level agreements (SLAs). Your work will directly impact client satisfaction and the efficiency of the signing process.
Key Responsibilities
- Facilitate the assignment of notaries to client signings through outbound calls, texts, and emails.
- Manage high-volume scheduling - averaging 22 orders daily .
- Negotiate fees with vendors to meet client goals while maintaining profitability.
- Ensure all assignments align with client requirements and SLAs.
- Use the CX Choice platform to send offers and monitor open order queues.
- Relay complete order details to notaries at the time of assignment.
- Handle reschedules and address scheduling issues quickly and professionally.
- Respond to calls and emails within 20 minutes of receipt.
- Maintain vendor and client communication throughout the lifecycle of an order.
- Support the Client Services Manager and team with additional projects as needed.
