About the Role :

The Receptionist - Lead plays a pivotal role in ensuring the smooth and efficient operation of the front desk within a healthcare or social assistance setting. This position is responsible for managing patient and visitor interactions with professionalism, empathy, and accuracy, serving as the first point of contact for the organization. The Lead Receptionist oversees daily front desk activities, coordinates scheduling, and supports administrative staff to maintain a welcoming and organized environment. Additionally, this role involves training and mentoring junior reception staff to uphold high standards of service and compliance with healthcare regulations. Ultimately, the Lead Receptionist contributes to enhancing patient experience and operational efficiency by combining leadership with exceptional communication and organizational skills.

Minimum Qualifications :

  • High school diploma or equivalent required; additional education in office administration or healthcare is a plus.
  • Minimum of 3 years experience in a receptionist or administrative role, preferably within a healthcare or social assistance environment.
  • Proven experience in supervising or leading a small team is required.
  • Strong knowledge of medical terminology, patient privacy regulations (e.g., HIPAA), and healthcare office procedures.
  • Proficiency with scheduling software, electronic health records (EHR) systems, and standard office software (e.g., Microsoft Office).

Preferred Qualifications :

  • Associate degree or certification in healthcare administration or related field.
  • Experience with multi-line phone systems and advanced customer service training.
  • Familiarity with billing and insurance verification processes.
  • Bilingual abilities to support diverse patient populations.
  • Previous experience working in a fast-paced clinical or social service setting.
  • Responsibilities :

  • Greet and assist patients, visitors, and staff promptly and courteously, ensuring a positive first impression of the facility.
  • Manage appointment scheduling, patient check-in and check-out processes, and maintain accurate records in compliance with healthcare privacy standards.
  • Supervise and support the reception team, providing training, guidance, and performance feedback to ensure consistent service quality.
  • Coordinate communication between patients, healthcare providers, and administrative departments to facilitate smooth workflow and timely information exchange.
  • Handle incoming calls, emails, and inquiries professionally, directing them to the appropriate personnel or departments as needed.
  • Maintain the reception area’s cleanliness, organization, and readiness to support daily operations.
  • Assist with administrative tasks such as data entry, filing, and managing office supplies to support overall office efficiency.
  • Skills :

    The required skills enable the Lead Receptionist to efficiently manage patient flow and administrative tasks while maintaining a calm and professional demeanor. Strong communication skills are essential for interacting with patients, staff, and external contacts, ensuring clarity and empathy in all exchanges. Leadership and organizational skills are applied daily to coordinate the reception team, prioritize tasks, and maintain an orderly front desk environment. Proficiency with healthcare software and technology supports accurate scheduling, record-keeping, and compliance with privacy regulations. Preferred skills such as bilingualism and knowledge of billing processes further enhance the ability to serve a diverse patient base and contribute to the overall operational success of the healthcare facility.
