We are looking for a detail-oriented Operations Specialist to join our team in Vacaville, California. In this long-term contract position, you will be responsible for supporting operational processes, managing billing tasks, and ensuring the accuracy of job files and purchase orders. This role requires strong organizational skills and the ability to work collaboratively in a dynamic environment.

Responsibilities :

• Prepare and organize job files, ensuring all necessary documentation is accurately compiled and maintained for operational use.
• Create and process purchase orders in line with company procedures, verifying details and obtaining approvals as needed.
• Enter billing data into the system with precision and collaborate with superintendents to ensure timely and accurate billing.
• Assist in resolving billing discrepancies and inquiries, maintaining clear communication with relevant stakeholders.
• Work closely with superintendents to prepare weekly timesheets for payroll submission, ensuring compliance and accuracy.
• Collect and review field safety inspection reports to support compliance and maintain proper documentation.
• Utilize Sage software proficiently for billing and operational tasks, adhering to established protocols.
• Enter new job phases into the system, ensuring all data is complete and accurate.
• Identify opportunities to streamline processes and enhance operational efficiency.
• Proactively support various operational tasks, demonstrating initiative and a commitment to meeting deadlines.
• High school diploma or equivalent; additional education or certifications in accounting or business administration is a plus.
• Previous experience in billing, operations support, or data entry roles preferred.
• Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
• Strong attention to detail and accuracy in managing data and records.
• Excellent organizational and time management skills, with the ability to prioritize effectively.
• Strong interpersonal and communication skills for collaborating with team members and superintendents.
• Ability to adapt to changing priorities and thrive in a fast-paced environment.
• Willingness to learn new software systems, including Sage, and quickly adapt to new processes.
