General Summary : Supports the daily operations of the CACREP-accredited Master's in Clinical Mental Health Counseling program and the School Counseling Master's program that will seek accreditation within the guidelines of federal and state laws, local ordinances, and Agnes Scott College and departmental policies and procedures. This role ensures smooth program functioning, assists faculty and students, and helps maintain compliance with accreditation standards with a specific focus on supporting the administrative needs of the faculty in the Program Director and Clinical Coordinator roles. Reports to the Counseling Program Director and works with students, faculty, staff, and vendors.
Essential Job Functions :
- Provides administrative support to faculty and program director, including but not limited to scheduling, internal and external counseling program related correspondence, supply ordering, creates requisitions and reimbursements, reconciles assigned P-card, correspondence with prospective and current students, maintains various databases and / or spreadsheets, document scanning and other administrative duties as required.
- Supports the CACREP Program Liaison and assists with accreditation-related documentation, data collection, and reporting, including ensuring compliance with CACREP policies and procedures.
- Coordinates student admissions, orientation, registration, and graduation processes in conjunction with Graduate Studies staff (i.e., Enrollment Manager, Admissions Counselor).
- Reviews and updates Counseling Student Handbook, student receipt of the handbook annually, and the Graduate Catalog specific to the Counseling Department / Programs.
- Assists with maintaining accurate student records (i.e., clinical hours logs, remediation plans, etc. for purposes of maintaining evidence and documentation for accreditation)
- Supports practicum / internship placement logistics and processing MOUs between the college and sites, and assists with follow up communications between program and prospective clinical sites.
- Assists with course rosters in practicum and internship software platform (i.e., Tevera).
- Schedules meetings, manages program calendars, and provides administrative support to faculty and leadership.
- Prepares and distributes program communications, materials, and updates.
- Assists with interprofessional events, including workshops, seminars, and program evaluations.
REQUIREMENTS
Education : Bachelor's degree required.
Experience : Minimum of 3 years recent administrative experience with other employers; experience in higher education or counseling program administration preferred.
