Lawrence Berkeley National Lab's (LBNL) NERSC Division has an opening for an Administrator Supervisor to join the Business Operations and Services (BOS) Group.
We are seeking a highly organized and detail-oriented Administrative Supervisor with strong administrative skills to join our team. In this exciting role, you will work under the general direction of and guidance from the Group Lead of the Business Operations and Services Group. The ideal candidate will possess a combination of administrative expertise and experience in overseeing and coordinating various initiatives within the Division. This role requires exceptional administrative abilities, strategic thinking, and the capability to manage multiple projects simultaneously. As a crucial member of our team, you will play a pivotal role in providing moderate to complex administrative support, leveraging your analytical skills and discretion to streamline operations.
What You Will Do :
- Provide day-to-day supervision, guidance, and oversight to union-represented administrative staff within the NERSC Division.
- Assess administrative needs, develop staffing plans, coordinate schedules, and allocate resources to meet evolving priorities and events.
- Oversee a wide range of administrative functions, including calendaring, procurement, travel, timekeeping, visitor processing, onboarding / offboarding, asset management, and space coordination.
- Ensure staff are trained and knowledgeable in Laboratory, DOE, UC, and union policies and procedures, including union contract requirements, applying sound judgment and initiative in problem-solving.
- Serve as the administrative lead for core services such as meeting logistics, event coordination, reimbursements, conference reporting, and internal communication tools (e.g., Slack, websites).
- Provide mentorship, coaching, and performance feedback to foster a collaborative, inclusive, and high-performing team environment.
- Maintain effective communication and collaboration across administrative staff, divisions, and the Computing Sciences Area to promote consistency and shared best practices.
- Provide high-level administrative support to the NERSC Division Director, including complex travel coordination, meeting preparation, and management of sensitive or confidential issues.
- Serve as a central communication point for the NERSC Division, managing information flow between the NERSC Director, staff, and Laboratory leadership.
- Collaborate with senior managers to coordinate cross-organizational initiatives and events critical to Division success.
- Oversee procurement and budget tracking for office equipment, supplies, and event logistics, ensuring compliance with Laboratory policies.
- Plan and execute NERSC Division meetings, workshops, and conferences, managing logistics, catering, travel, and A / V arrangements.
- Develop and improve administrative processes, tools, and workflows to enhance efficiency and service delivery.
- Demonstrate professionalism, discretion, and effective communication in all interactions with staff, collaborators, and external partners.
- Collaborate with Group Leads and Hiring Managers to organize interview panels, leadership roundtables, and candidate meetings in support of the hiring process.
