Manage the Operations, Empower the Staff; Center Operations Manager Needed!

A Bridge to Achievement is seeking an Administrative Professional to join our team! This role is onsite and requires availability to work within our operating hours : Monday through Friday, 8 : 00 AM to 6 : 00 PM.

SUMMARY :

The Center Operations Manager is a key operational leader responsible for overseeing daily center operations, including learner intake, scheduling, administrative coordination, budgeting, and facility management. This role ensures that the center runs efficiently, supports high-quality service delivery, and provides a safe, welcoming environment for learners, families, and staff. The Center Operations Manager serves as the operational hub, working collaboratively with clinical supervisors, operational specialists, and leadership to align operations with ABtA’s mission, values, and commitment to trauma-assumed, least-restrictive ABA practices.

ESSENTIAL FUNCTIONS :

  • Lead, manage, and mentor operations staff, providing training, guidance, and strategic feedback to ensure departmental success and service quality.
  • Oversee recruitment, interviewing, and hiring for operations staff, and collaborate with the Center Director on BT / RBT hiring decisions.
  • Partner with the Center Director in corrective action conversations, performance management, and staff development planning.
  • Routinely assess center culture and morale through pulse checks, mediating conflicts, and fostering a positive, inclusive culture aligned with ABtA’s values.
  • Provide strategic oversight of learner intake and enrollment processes, monitoring performance metrics (timeliness, conversion, family satisfaction) and addressing barriers proactively.
  • Oversee scheduling staff and protocols to ensure alignment with treatment plan requirements and authorized hours, while optimizing staff utilization, minimizing cancellations, and maximizing learner access.
  • Monitor and analyze scheduling data and center-wide operational metrics (attendance, utilization, efficiency) to guide resource allocation, staffing decisions, and continuous improvement.
  • Implement and refine operational procedures to ensure smooth center operations and a structured, safe, and sanitized environment for learners, staff, and visitors.
  • Serve as the first point of contact for operational escalations, delegating daily tasks and ensuring timely resolution.
  • Manage the center’s budget, inventory, supply purchasing, and facility needs, including staff appreciation initiatives.
  • Maintain accurate operational records and oversee interdepartmental systems, spreadsheets, and software tools.
  • Ensure operational compliance with HIPAA, OSHA, BACB, and all state / federal regulations.
  • Support incident reporting processes and follow-up, ensuring thorough documentation and compliance.
  • Participate in monthly collaboration meetings with upper management, sharing updates, feedback, and solutions.
  • Lead scheduled safety drills, ensuring accurate attendance documentation and staff / learner participation.
  • Assist with operational decision-making during emergencies (e.g., weather, illness, power outages).
  • Coordinate with external vendors and property managers for maintenance, repair, and facility improvement needs.
  • Work in partnership with clinical leadership to ensure staff follow clinical recommendations, policies, and procedures that safeguard learners.
  • Collaborate on ABtA-sponsored events, team-building initiatives, and learner activities to strengthen morale, socialization, and engagement.
  • Partner with Clinical Supervisors and Directors to ensure staff have the resources, schedules, and support they need for effective service delivery

Requirements

QUALIFICATION REQUIREMENTS :

  • Minimum of two years of experience in a supervisory role required
  • Minimum of two years of overall experience within a related human services field (IDD / DD, ABA, etc) required
  • Bachelor's degree in psychology, social work, human services, healthcare administration or relevant field required
  • Experience in ABA field strongly preferred

  • Highly proficient in operational systems and data management tools, including Microsoft Office Suite, Google Workspace, and relevant ABA scheduling, payroll, and reporting platforms.
  • Strong financial and administrative acumen, with the ability to manage budgets, forecast needs, and ensure resource optimization.
  • Exceptional organizational and time-management skills, balancing competing priorities while maintaining attention to detail and compliance.
  • Demonstrated adaptability and problem-solving ability in dynamic, fast-paced environments, particularly during times of change or restructuring.
  • SUPERVISORY RESPONSIBILITIES :

  • This position directly supervises the Center Operations Supervisor and their oversight of the operational personnel at their assigned center. This position also provides feedback and corrective action needed to behavior technicians onsite
  • WORK ENVIRONMENT :

  • This position works primarily out of a climate-controlled ABtA center / office location that complies with all relevant safety and accessibility regulations.This position works primarily indoors, but some locations may have an outdoor playground which would expose the employee to natural elements when working with learners who have transitioned outdoors. Employees are expected to contribute to maintaining cleanliness and tidiness in shared areas while at the office. Employees may be subject to various noise conditions based on room usage, room type and the use of radio systems to communicate across the building. Employees are expected to assist learners in the bathroom for toilet training and diaper changing.
  • PHYSICAL DEMANDS :

  • Must be able to observe and move with children in their natural environments (e.g. ABtA center, home, school and / or outside or in community)
  • Must be able to demonstrate working and playing with children; must be able to sit on floor on ground and move easily in this capacity
  • Must be able to perform the following gross motor activities :
  • Climbing (e.g. upon playground equipment)
  • Bending over (e.g. to assist child with writing or pick up reinforcers off ground)
  • Squatting (e.g. to assist child putting on shoes)
  • Running (e.g. running through a sprinkler with a child)
  • Carrying (e.g. teaching materials, toys, art supplies) up to 15lbs
  • Must be able to perform the following fine motor activities :
  • Pincer grasp (e.g. manipulation of teaching PECS icons)
  • Writing (ex. Filling out paper form with a pencil or pen)
  • Using scissors and various craft supplies
  • Grasping objects (e.g. keys, door knobs, etc)
  • Twisting of hands / wrist or fingers (e.g. Tying Shoes, fastening a button, using a zipper, etc)
  • Must be able to demonstrate working and playing with children; must be able to sit on floor on ground and move easily in this capacity
  • Must be able to lift children up to 50lbs
  • Must be able to utilize safe non-violent crisis intervention techniques with program participants of all ages (raising arms above head to block, stepping back, reaching behind shoulders, etc)
  • Must be able to teach and assist with toileting skills. (eg. changing diapers, lifting on an off toilet)
  • While performing the duties of this job the employee is regularly required to operate a computer, telephone, tablet and keyboard
